Job Summary
Mission/ Core purpose of the Job:
The Personal Assistant (PA) to the CEO will provide comprehensive administrative support to the CEO, ensuring efficient management of his schedule, communications, and office activities. The PA will also handle document translation from local languages to English and vice versa and provide interpretation services during meetings.
Duties & Responsibilities
Key Tasks:
Administrative Support:
- Manage the CEO’s calendar, scheduling meetings, appointments, and travel arrangements.
- Handle all correspondence, including emails, phone calls, and letters, ensuring timely responses.
- Prepare and edit reports, presentations, and other documents as required by the CEO.
- Organize and maintain the CEO’s office, ensuring all necessary supplies are available.
- Plan and coordinate the CEO’s travel arrangements, including flights, accommodations, and itineraries.
Translation and Interpretation:
- Translate documents from local languages to English and vice versa, ensuring accuracy and clarity.
- Review and proofread translated documents to maintain high quality.
- Handle confidential and sensitive information with utmost discretion.
Meeting Coordination and Interpretation:
- Arrange and coordinate meetings with internal and external stakeholders, including preparing agendas, minutes, and follow-up actions.
- Provide interpretation services during meetings, ensuring clear and accurate communication.
- Assist in preparing materials and presentations for meetings.
• Communication Liaison:
- Act as a liaison between the CEO and internal/external stakeholders.
- Ensure smooth communication and information flow within the organization and with external parties.
- Handle incoming and outgoing communications on behalf of the CEO as necessary.
